Is a custom CRM worth it? Usually not, and here is how to tell

Usually no. If an off-the-shelf product covers about eighty per cent of what you need, buy it. Someone else spent millions building it and a team maintains it for the price of a takeaway.

Yes when the things your business tracks genuinely do not fit the contacts-and-deals shape every CRM assumes, and you are paying for that mismatch daily in workarounds and spreadsheets living next to the system.

In our own reading of published UK prices, a simple single-pipeline build runs £2,000 to £5,000 and mid-tier £8,000 to £25,000. We quote ours after the audit, as a fixed price in writing.

Why people add “reddit” to this search

Because the people who sell custom CRM builds are not well placed to tell you not to buy one, and the people who sell CRM subscriptions are not well placed either. Asking a room of strangers who have actually done it is a sensible move.

We build these, and we still think most people asking should buy something off the shelf. That is not modesty, it is that the failed custom builds are expensive and we would rather not do them.

What we would tell you, with the numbers

Three tests. Any yes means buy the product.

Does an off-the-shelf product cover eighty per cent? Adapting to the last twenty per cent is nearly always cheaper than owning software.

Is the process still being argued about? Software makes an unagreed process permanent and you pay twice.

Does the whole idea exist to avoid one awkward conversation? It happens more than you would think.

The cost nobody quotes is change. A bespoke system is an adoption, not a purchase. Budget for hosting, dependency upgrades and changes as the business changes, because a system nobody can afford to change becomes the thing everyone works around within about eighteen months.

A process audit comes first here, always. It is normally £495 and free for a limited time, and it is explicitly allowed to conclude that you should not build anything.
